Tour Package: Any product or service sold or promoted by us, including travel arrangements, accommodations, meals, sightseeing, transportation, and guides. Third Party Vendors: Independent suppliers or contractors not employed by Queaba Trips and Tours Pvt. Ltd. 2. Booking & Payments 2.1 Booking Process All bookings must be made through our official channels (website, office, authorized agents). Bookings are confirmed only after receipt of advance payment and confirmation from us. 2.2 Payment Terms A non-refundable advance of 30% to 50% of the total package cost is required at the time of booking. Full payment must be made at least 15 days prior to the date of departure. Failure to pay on time may result in cancellation of the booking. 2.3 Payment Modes We accept payments via bank transfer, UPI, credit/debit cards, and cash (as permitted by Indian law). 3. Cancellation & Refund Policy 3.1 Cancellation by Client More than 30 days before departure: 80% refund of the total amount paid. 15â30 days before departure: 50% refund. Less than 15 days before departure or no-show: No refund. 3.2 Cancellation by Company If we cancel the trip due to unforeseen circumstances (weather, political instability, minimum participation not met, etc.), we will provide: A full refund of the amount paid, or An option to reschedule or transfer the booking. 3.3 Refund Processing Refunds will be processed within 7 to 21 working days from the date of approval. Payment gateway and banking charges are non-refundable. 4. Amendments & Rescheduling Requests for change in travel date or itinerary must be made in writing at least 15 days in advance. Any additional costs due to rescheduling (flight fare differences, hotel rate changes) will be borne by the client. No changes will be permitted within 7 days of departure. 5. Inclusions & Exclusions 5.1 Inclusions The services included in the package will be explicitly mentioned in your itinerary, such as: Accommodation Transportation Meals Entry tickets Tour guide services (if applicable) 5.2 Exclusions Unless otherwise specified, the following are excluded: Airfare or train fare Personal expenses (laundry, shopping, etc.) Meals not mentioned in the itinerary Optional activities Travel insurance 6. Travel Insurance We strongly recommend that all travelers obtain comprehensive travel insurance covering medical expenses, personal accident, trip cancellations, delays, and lost baggage. The company is not responsible for any losses incurred due to lack of insurance. 7. Health, Fitness & Safety It is the responsibility of the client to ensure they are medically and physically fit for travel. Any pre-existing medical conditions must be disclosed during booking. We are not liable for any injuries, illnesses, or deaths during the trip. 8. Behavior & Responsibility Clients are expected to maintain respectful conduct during the trip. We reserve the right to terminate the participation of any client who behaves in a manner that is disruptive, abusive, or harmful to others or the environment, without refund. Clients must comply with local laws, customs, and regulations at all times. 9. Force Majeure We are not liable for any failure or delay in performance due to causes beyond our reasonable control, including but not limited to natural disasters, wars, riots, strikes, pandemics, weather conditions, government actions, or transportation delays. 10. Liability Disclaimer While we take all reasonable steps to ensure safety and quality, we shall not be liable for any loss, damage, or injury arising from acts of God, accidents, thefts, third-party failures, or negligence. Our liability, if any, is limited to the amount paid by the client for the tour/service. 11. Third-Party Services We use third-party suppliers for accommodations, transport, and other services. While we take reasonable care in selecting them, we are not responsible for their acts, omissions, or service quality. 12. Passport, Visa & Travel Documents It is the sole responsibility of the traveler to ensure they possess valid travel documents. Any delay or denial of visa is not the responsibility of the company. Clients must carry original photo identification and relevant permits as required. 13. Promotional Use By participating in our tours, you consent to the use of photographs, videos, or other media taken during the trip for promotional purposes, unless explicitly denied in writing before the trip begins. 14. Disputes & Jurisdiction All disputes shall be settled amicably. If unresolved, they shall be subject to arbitration under Indian law. The courts of Kolkata shall have exclusive jurisdiction. 15. Privacy Policy We value your privacy. Personal data collected during booking will only be used for processing your tour and providing service. Acceptance of Terms By making a booking or engaging in services provided by Queaba Trips and Tours Pvt. Ltd., you acknowledge that you have read, understood, and agreed to these Terms and Conditions in full.
Booking&Payments
Booking and payment policies are essential to ensure a smooth and transparent process between Queaba Trips and Tours Pvt. Ltd. and its clients. The following guidelines outline how bookings are handled, the required payment structure, and the accepted modes of payment. 2.1 Booking Process At Queaba Trips and Tours Pvt. Ltd., we aim to make your travel planning experience as seamless as possible. All bookings must be made through our official communication channels, which include our website, physical office, and authorized travel agents. Customers are advised not to engage with unverified third parties claiming association with our company. Once a client expresses interest in a tour package, a preliminary itinerary and cost estimate will be provided. The booking is considered tentative until the initial advance payment is received and a formal confirmation is issued by our office. Only upon receiving this confirmation does the booking become officially secured. Clients will receive a Booking Confirmation Voucher or Email Confirmation, which includes tour details, payment receipts, and contact information. No travel arrangements will be made or guaranteed without this confirmation. It is the responsibility of the client to provide accurate and complete information at the time of booking, including names (as per ID/passport), dates, preferences, and any specific requirements. 2.2 Payment Terms To confirm a booking, a non-refundable advance payment ranging between 30% to 50% of the total package cost is required. The exact advance amount may vary depending on the destination, season, and specific services included in the package (e.g., hotels, flights, permits). The remaining balance of the package cost must be paid no later than 15 days before the departure date. In case of late bookings (within 15 days of departure), 100% payment is required upfront. Failure to adhere to this payment schedule may result in automatic cancellation of the booking, and the client may forfeit the advance amount as per the cancellation policy. All pricing is quoted in Indian Rupees (INR) unless otherwise specified. In case of any change in taxes, fuel prices, or currency fluctuation, the company reserves the right to revise the tour cost, even after confirmation. It is important to note that advance payments are non-refundable, as these are used to secure hotels, transportation, flights, and permitsâmany of which have non-refundable policies themselves. 2.3 Payment Modes For the convenience of our customers, Queaba Trips and Tours Pvt. Ltd. accepts multiple payment modes. These include: Bank Transfers (NEFT/RTGS/IMPS) Unified Payments Interface (UPI) â such as Google Pay, PhonePe, Paytm, etc. Credit and Debit Cards (Visa, MasterCard, RuPay, etc.) Cash payments, in accordance with Indian government rules on cash transactions Clients are advised to retain payment receipts or transaction confirmations until their journey is complete. For large cash payments, PAN card details may be required as per the income tax regulations of India.
Include & Exclude
At Queaba Trips and Tours Pvt. Ltd., we believe in offering complete transparency when it comes to the services included and not included in your travel package. To ensure our customers have a clear understanding of what they are paying for, we always provide a detailed itinerary and cost breakdown before the tour is confirmed. It is important for travelers to read the inclusions and exclusions carefully to avoid confusion or unexpected expenses during their journey. 3.1 Tour Inclusions The services included in your tour package will be clearly specified in the final itinerary and confirmation document. These inclusions typically cover the essential components of a travel experience, and may include some or all of the following: Accommodation: Lodging at hotels, resorts, guesthouses, or camps as specified in the itinerary. Room category (standard, deluxe, etc.) and occupancy (single, double, triple sharing) will be mentioned. Transportation: All internal transportation such as airport transfers, local sightseeing, and intercity travel via car, van, coach, or train. The mode and type of vehicle will depend on the number of travelers and destination. Meals: Meals as mentioned in the package, which may include breakfast, lunch, and/or dinner. Some packages may include buffet meals, fixed menus, or packed meals depending on the location and travel conditions. Sightseeing & Activities: Entry fees and guided tours to the destinations and attractions mentioned in the itinerary. This may include monuments, museums, nature parks, temples, or other tourist sites. Tour Guide/Assistance: Services of a professional tour guide or local representative, if specified in the package, to help coordinate and assist during the trip. Permits and Entry Fees: In case the tour requires special permits (e.g., for national parks, restricted areas, or hill stations), these will be arranged and included if mentioned in the itinerary. All inclusions are strictly limited to what is listed in the final itinerary or quotation provided to the client. If an item or service is not clearly mentioned, it is not considered part of the package. 3.2 Tour Exclusions Unless specifically included in writing, the following items are not covered by the package and must be borne by the traveler: Personal Expenses: All personal purchases such as shopping, laundry, phone calls, room service, tips, and beverages not part of included meals. Travel Insurance: The package does not include travel, medical, or baggage insurance. It is highly recommended that travelers purchase appropriate insurance before departure. Optional Activities: Any optional tours, experiences, or excursions not mentioned in the itinerary are not included, even if they are recommended by our staff or guides during the trip. Airfare/Train Fare: Unless clearly stated, domestic and international air/train tickets are not included in the package price. Visa & Passport Charges: Costs related to obtaining or renewing passports, visa application fees, or documentation services are not part of the package. Any Cost Arising from Delays: Costs due to weather delays, road closures, strikes, or natural disasters are not included and must be covered by the traveler. Understanding the inclusions and exclusions helps travelers plan their trip better and manage their budget accordingly. Documents & Visas

Ensuring you have the correct documents in place is a critical step in your journey, whether youâre traveling within India or abroad. 4.1 Responsibility of Travelers All clients are solely responsible for carrying valid and up-to-date travel documents required for their chosen destination. These documents typically include, but are not limited to: Passport (valid for at least 6 months beyond the date of return) Government-issued ID Cards (for domestic travel within India) Visa(s) for the countries being visited Entry Permits or Special Area Permits, if applicable Vaccination certificates, if required (such as Yellow Fever, COVID-19, etc.) Failure to carry the proper documentation can result in denial of boarding, entry refusal at immigration, or even deportation from a foreign country. In such cases, Queaba Trips and Tours Pvt. Ltd. shall not be held liable for any loss, expense, or inconvenience caused. 4.2 Passport and Visa Services While we provide general guidance and support in applying for visasâsuch as offering information about visa requirements, helping with application forms, or supplying supporting documents like hotel bookings or travel itinerariesâthe final decision to grant a visa rests solely with the concerned embassy, consulate, or government authority. We cannot guarantee that a visa will be granted, nor are we responsible for any delays, denials, or additional requirements imposed by visa authorities. Visa processing times and requirements may change without notice, and it is the travelerâs duty to stay updated with the respective embassy or consulate. In the event of a visa rejection or delay, cancellation charges as per our booking policy will apply. We advise clients to apply for visas well in advance and check all application details carefully before submission. 4.3 Domestic Travel Requirements For travel within India, valid government-issued ID cards such as Aadhaar, PAN, Voter ID, or a driverâs license are mandatory. For air and train travel, the name on the ticket must exactly match the ID proof. Children and minors must also carry appropriate documentation such as a birth certificate or school ID. In some parts of Indiaâsuch as northeastern states, Andaman Islands, or certain border regionsâspecial permits may be required. While we may assist in arranging these, it remains the travelerâs responsibility to ensure compliance with all legal entry requirements. 4.4 Immigration and Customs Travelers are responsible for complying with immigration, customs, and border regulations of both their home country and the destination country. Any fines, penalties, or restrictions due to incomplete or incorrect documentation must be borne by the traveler.

Ltd. does not provide insurance policies directly. However, we advise our clients to obtain insurance coverage from a reputable insurance provider before the journey begins. We can guide you to available options, but the selection and purchase of the insurance policy remain the sole responsibility of the traveler. It is important to understand the scope and limitations of your insurance policy. Not all policies cover all types of risks. For example, some insurance plans may exclude pre-existing medical conditions, adventure sports injuries, or claims arising due to alcohol or drug use. We advise all travelers to read the policy terms and conditions carefully and choose a plan that best suits their travel needs. 5.3 Companyâs Liability Please note that Queaba Trips and Tours Pvt. Ltd. is not liable for any losses, damages, or expenses that occur during your trip and are not covered by your insurance. This includes losses due to: Medical emergencies not insured under your policy Cancellation of flights or trains Natural disasters, pandemics, or political unrest Theft or loss of personal items Additional accommodation or travel costs arising from delays or unforeseen events If a traveler chooses to proceed without travel insurance, they do so at their own risk, and the company shall not be held responsible for any resulting hardship or financial loss. 5.4 Recommendation We highly recommend that your travel insurance policy be valid for the entire duration of your trip, including departure and return dates. If you're traveling internationally, your policy should provide coverage across all countries being visited.

In case of illness or injury during the trip, the traveler must seek medical attention promptly at their own cost. All medical expensesâincluding doctor consultations, hospital stays, medication, ambulance services, and medical evacuationâare the responsibility of the traveler. We strongly recommend that travelers purchase comprehensive travel health insurance that covers medical emergencies, evacuation, and repatriation to protect themselves financially in such situations. 6.4 Fitness to Travel Declaration By confirming your booking with Queaba Trips and Tours Pvt. Ltd., you declare that you are medically fit and capable of participating in the chosen tour itinerary. You acknowledge that the company and its representatives shall not be held liable for any injury, illness, or complications arising due to undisclosed health conditions or failure to follow medical advice. 6.5 Special Considerations For travelers who are pregnant, elderly, or have other specific health concerns, we advise you to discuss the itinerary with your healthcare professional before booking. It is the travelerâs responsibility to respect and comply with all local laws, customs, and regulations. This includes observing rules related to dress codes, religious practices, public behavior, environmental protections, and any specific regulations related to travel destinations. Failure to respect local laws may lead to serious consequences, including fines, detention, or deportation by local authorities. Queaba Trips and Tours Pvt. Ltd. does not assume responsibility for any legal issues or penalties arising from a travelerâs failure to comply with these laws. 7.2 Respectful Behavior Respect and courtesy toward fellow travelers, tour guides, drivers, hotel staff, and local residents are fundamental to a harmonious group travel experience. Queaba Trips and Tours Pvt. Ltd. expects all clients to behave with dignity, tolerance, and kindness throughout the trip. Any form of harassment, discrimination, abusive language, or aggressive behavior will not be tolerated. This includes inappropriate comments or actions based on gender, race, religion, nationality, disability, or any other personal characteristic. Maintaining a respectful and friendly atmosphere helps ensure that everyone enjoys their travel experience without discomfort or distress. 7.3 Prohibited Conduct The following behaviors are strictly prohibited during the trip and may lead to immediate removal from the tour without any refund or compensation: Engaging in illegal activities such as drug use, smuggling, or theft. Violence or threats of violence toward any person. Sexual harassment or inappropriate physical contact. Damage or destruction of property belonging to hotels, vehicles, or local communities. Non-compliance with safety instructions or reckless behavior that endangers others. Consumption of alcohol or substances in restricted areas, or in a manner that causes disturbance. 7.4 Consequences of Non-Compliance If a traveler is found violating any of the above conduct rules, Queaba Trips and Tours Pvt. Ltd. reserves the right to take necessary action, including: Immediate removal from the tour group at the travelerâs own expense. Reporting to local authorities, if the violation involves illegal activities. Denial of future bookings or services with our company. No refunds will be provided for any unused services or parts of the tour due to dismissal for misconduct. Furthermore, the traveler will be responsible for any additional costs incurred due to their actions, including travel or accommodation changes. 7.5 Safety Compliance Clients must also comply with all safety instructions provided by the tour guides or company representatives. This includes wearing safety gear when required, following vehicle seatbelt rules, and adhering to guidelines during adventurous activities. Non-compliance may not only jeopardize your safety but also that of the entire group.

Ltd. cannot be held liable for any loss, damage, injury, or inconvenience caused by circumstances beyond our reasonable control. These may include but are not limited to: Delays, cancellations, or changes caused by airlines, trains, buses, or other third-party transportation providers. Natural calamities such as floods, earthquakes, storms, hurricanes, or any other acts of God. Strikes, labor disputes, or industrial actions affecting transportation, accommodation, or other services. Government actions, regulations, or restrictions, including visa refusals, quarantines, border closures, or sudden changes in travel policies. Acts of terrorism, civil unrest, war, or political instability in any destination. Loss, theft, or damage of personal belongings or luggage, unless covered by separate insurance. Medical emergencies or health issues that arise during the trip. Any indirect or consequential losses, such as missed connections, lost income, or emotional distress. 8.3 Third-Party Services Many of the services offered as part of your tourâsuch as hotels, local transportation, sightseeing tours, and activitiesâare provided by independent third-party suppliers. Queaba Trips and Tours Pvt. Ltd. acts as an intermediary and facilitator but does not own or operate these services. We do our best to select reliable providers, but we cannot guarantee their performance or be responsible for their negligence, errors, or omissions. Any claims relating to the quality or delivery of third-party services must be addressed directly with the relevant supplier, with our assistance if possible. 8.4 Liability Cap Our liability under any circumstances is strictly limited to the monetary value of the services booked through Queaba Trips and Tours Pvt. Ltd. This means that, in the unlikely event of a claim against us, the maximum amount payable will not exceed the cost of the affected portion of your tour package. This limitation applies regardless of the nature of the claim or loss and excludes any indirect or consequential damages. 8.5 Travel Insurance Because of the inherent risks and uncertainties in travel, we strongly recommend that all travelers purchase comprehensive travel insurance covering trip cancellations, medical emergencies, baggage loss, and other potential issues. Travel insurance is the best safeguard against financial loss due to unforeseen events that may affect your trip.
Legal Jurisdiction

It avoids the complexity, cost, and delay that might arise from cross-border litigation if the client resides outside Kolkata or even outside India. We believe this arrangement helps both the client and the company resolve any potential disagreements efficiently and fairly. 9.3 Dispute Resolution Process While we hope that all travel experiences with Queaba Trips and Tours Pvt. Ltd. are positive, we recognize that misunderstandings or disputes may occasionally occur. We encourage clients to: Contact our customer service team immediately if any issue arises during or after the trip. Attempt to resolve the matter amicably through dialogue and negotiation. Our team is committed to addressing your concerns promptly and working toward a satisfactory solution. If an amicable settlement cannot be reached, the matter may then be escalated to formal legal proceedings in the Kolkata courts as outlined above. 9.4 Acceptance of Terms & Conditions By confirming your booking with Queaba Trips and Tours Pvt. Ltd., you explicitly accept and agree to abide by all the Terms and Conditions set forth by the company. This acceptance is a prerequisite to securing your booking and proceeding with the payment. We strongly advise all clients to carefully read and understand the Terms and Conditions before confirming any booking.
